In response, smart workplace apps are evolving from basic booking systems into intelligent platforms that enhance space management and support a vibrant office culture.

At the core of this transformation is spatial AI. These tools not only allow employees to reserve desks, rooms, parking spaces or amenities, but also to predict when teams are likely to be in the office, automatically assigning team neighbourhoods to maximise collaboration. Instead of employees manually coordinating where and when to work, apps can now recommend optimal in-office days, reserve suitable spaces, and even assign consistent team locations based on previous behaviour.
Wayfinding is another area where AI-powered apps are reducing friction. With turn-by-turn navigation and interactive maps, workplace apps help hybrid workers – especially those unfamiliar with evolving office layouts – move through spaces effortlessly. This contributes to a more welcoming and accessible office experience.

Insights into space usage, booking trends, and sentiment around amenities enable leaders to make informed decisions that align with employee needs and preferences.
